We are seeking a full-time Administrator for a fast-paced real estate office. Position is available immediately.

Number of personnel supported: 6 - 8
Typical work hours: Monday - Friday, 8:00 – 5:00
Weekends or overtime hours: You will work normal office hours.
General salary range: Depends on experience.
About the company: American West Realty & Management started out as a one-person operation in 1996 and it grew steadily over the years. It was purchased by the current owners in 2010. In the past five years we have nearly doubled the number of properties managed. In the last two years we have added five sales agents in an effort to diversify and better serve our clientele. Our goal is to provide the best service whether you are renting, buying, selling or investing. At American West Realty, "We don't just manage!"

A typical day on the job: The administrator is the face of the company, welcoming clients and customers that call, email, or walk in. A typical day will see around 50 interactions with the public and a busy day can easily be twice that. There is a steady stream of office work from the staff, to include paying invoices, bookkeeping, filing, creating documents and folders, data entry, office organization, and more. Our schedule is typically busiest during the first and last week of each month and busier in the summer than the winter.
Positive things about being an administrative professional in this industry: You will learn about the real estate business, particularly property management. You get to interact with a wide variety of people, including office staff, contractors, Landlords, Tenants, first-time home buyers, sellers, investors, and more. You will be part of a dynamic team that provides a critical service to the community. We are a team and never hesitate to step up and help each other out. And we have a lot of fun doing it!
Negative things about being an administrative professional in this industry: Your daily plan is often interrupted by phone calls, walk-ins, and the needs of staff. You will occasionally deal with customers that are frustrated, obnoxious, or dealing with difficult personal situations. As a small office with heavy traffic, we are often on top of each other. You must be able to stay focused in the midst of distraction. We expect you to display grace under pressure, uphold office policies, and avoid taking things personally. 
Top skills required: The two greatest requirements are integrity and organization skills. Applicant must enjoy working with the public and maintain a positive image. Be able to complete work in a timely manner with 100% accuracy. Possess strong computer skills and the ability to learn new software and technologies. Be comfortable with making and receiving phone calls, often regarding subjects you may know little about.
Difficult skills used regularly: We have robust software for tracking all aspects of the business. It requires attention to detail, adhering to strict policies and procedures, and cross-checking your work and the work of others.
Critical soft skills: You will deal with tenants ranging from all socio-economic and educational backgrounds. Customers cannot see you having a bad day. Customers and office personnel need to know they can trust you. When a mistake is made, you are expected to admit it, learn from it, and move on.
Office machines or equipment operated regularly: Computer, scanner, copier, fax, and telephone. You should be very comfortable with technology and capable of learning new systems quickly.
